From contract
to crew checklist
One document drives every visit. Here's how our maintenance agreement becomes the checklist our crew completes on your property.
-
Step 01 · The agreement
It starts with one written agreement
Our commercial maintenance agreement is the controlling document: who the client is, the property, the term, the annual price and what's in each exhibit. Nothing is left to a verbal promise.
- Client, property and term
- Annual price and monthly installment
- Scope, schedule and site plan as exhibits
-
Step 02 · The approved scope
We agree on the scope together
Before anything is signed, we walk the property with you and fill in the scope service by service — what's included, how often, and what's excluded. Both parties review and approve it, so the scope is something we decided together.
- Each service with its frequency
- Clear included work and exclusions
- Approved by both parties before work starts
-
Step 03 · The crew checklist
The scope becomes a checklist
Every obligation in the approved scope is mapped to a checklist item, a due rule and a place in the annual service calendar. Management verifies that nothing in the contract is missing before the first visit is released.
- Every obligation mapped to a checklist item
- A month-by-month service calendar
- Verified before the first visit
-
Step 04 · Every visit
Checked off every single visit
On every visit the crew works through the checklist and records each item as completed, not due, or blocked — with photos and notes on anything that needs a decision. The office reviews it, and the month is reconciled against the contract. We're always on the same page about exactly what got done.
- Completed, not due or blocked — never guessed
- Photos and exceptions recorded
- Monthly reconciliation against the contract
Technology behind the scenes
How we use AI
to run a better operation
AI does the paperwork-heavy organizing so our people can focus on the property. People approve every commitment and verify the work.
- 01
Reads the agreement
AI pulls the property details, services and frequencies out of the signed agreement and drafts the property file — and flags anything missing for a person to fill in.
- 02
Builds the checklist and calendar
AI maps each contracted obligation to a crew checklist item and the annual service calendar. Management checks every line before it goes to the crew.
- 03
Cross-checks the work
Visit records are compared against what the contract requires, so a missed or overdue task surfaces as a follow-up with an owner — not a surprise.
- 04
Keeps the business organized
Requests, proposals, scheduling and follow-ups stay in one organized system, so questions get answered and next steps don't fall through the cracks.
Technology supports faster coordination. Accountability stays with our team.
Our process
From site walk
to scheduled visits
Every maintenance agreement starts with the property itself, not a price sheet.
-
01
Request a proposal
Tell us about the property, the areas that matter most and what isn't working today.
-
02
Site walkthrough
We walk the grounds with you: lawns, beds, irrigation, access and the priority spaces.
-
03
Written scope and schedule
You get a written proposal listing each service, how often it happens and what's excluded.
-
04
Checklist every visit
The scope becomes the crew's checklist. Each visit is recorded, and anything outside scope is quoted first.
How every job is run
The same standard
on every property
- 01
Walkthrough first
Every proposal starts with walking the property with you.
- 02
Written scope
Each service, how often, and what's excluded, approved by both sides before work starts.
- 03
Checklist every visit
The scope becomes the crew's checklist, recorded on every visit.
- 04
Photos and notes
Anything blocked or needing a decision comes back with a photo and an owner.
- 05
Changes in writing
Work outside the scope is quoted and approved before it happens.
