How We Work

From the first walkthrough
to the recurring service plan

We organize the details that make maintenance easier to manage. Your property's requirements become clear crew instructions, scheduled work, and a record of what was completed or needs follow-up.

Recurring Maintenance

Six steps
behind every maintenance agreement

A property manager should see accountability without needing to learn our software. This is the short version of how a request becomes a well-run site.

  1. 01 · 01

    Intake

Your request becomes a named property record with the contacts, location, timing, decision maker and the next action. Anything unknown gets an owner and a follow-up date.

  2. 02 · 02

    Site walkthrough

We walk the property and review the included areas, existing conditions, access, service expectations, seasonal needs and any RFP you have issued.

  3. 03 · 03

    Proposal and agreement

A written scope sets out services, quantities, frequencies, standards, exclusions and price. Once approved, the maintenance agreement is prepared and signed.

  4. 04 · 04

    Activation

Before the first visit we build the property file: signed agreement, crew checklist, property map, reference photos, access notes, special instructions and service calendar. The first visit is released only when that setup is complete.

  5. 05 · 05

    Each visit

The crew reviews what is due, does the work, records completed tasks, saves photos and exceptions, and walks the site before leaving.

    Completed
    Work done and recorded
    Not due
    Scheduled for a later visit
    Inspected
    Checked, no work needed
    Blocked
    Access or conditions prevented it
  6. 06 · 06

    Review and correction

The office checks the visit record, unfinished items are assigned to a person with a due date, and corrections close only after they are verified. Each month, required and completed visits are reconciled before the next calendar and invoice.

One-Off Projects

Project stages
you can follow

Landscape improvements and installation projects move through the same eight stages, from readiness to closeout. Progress reflects delivered scope, not days elapsed or invoices sent, and a project reaches 100% only after the work and any corrections are verified.

  1. 01 · Stage 1

    Planning & Readiness

Confirm the approved scope, kickoff date, access, schedule expectations and anything you need to prepare.

  2. 02 · Stage 2

    Project Start

Crews mobilize, the site is set up and the first workday begins as planned.

  3. 03 · Stage 3

    Production - Stage 1

The first phase of the work, described for the actual project.

  4. 04 · Stage 4

    Production - Stage 2

The next phase of work. Stages a project does not need are labeled as unused rather than filled.

  5. 05 · Stage 5

    Production - Stage 3

Remaining production work, where the project calls for it.

  6. 06 · Stage 6

    Final Details

Finishing work, cleanup and the small items that complete the scope.

  7. 07 · Stage 7

    Quality Review

We check the work against the agreement and complete any corrections.

  8. 08 · Stage 8

    Project Closeout

A final walkthrough with you and the handover information for the finished work.
